For three weeks we’re sharing one AI prompt + a tiny action. Last week was SEO.

This week: make one SOP actually usable.

1) Do this
Head over to your favorite LLM - ChatGPT and Gemini have been our favorites lately. Paste the prompt below, then paste one SOP you want people to follow better this month.

“Act as an Operations Coach.
Goal: Refactor the following SOP into a 1-page, role-based checklist my team can actually use.
Output must include:

  • Title (job-to-be-done)

  • When to use (triggers)

  • 7 steps (imperative, ≤12 words each, with quick hints/examples)

  • Owners + SLA (role + timeline per step or overall)

  • If stuck path + support contact

  • 3 common mistakes to avoid

  • Callouts for case-specific variations (if relevant)

  • Style: coach a smart new hire — direct, plain, no jargon.

  • Source SOP: [paste or attach your current SOP]”

2) The reason(s)
Because adoption beats documentation. Short, role-based checklists outperform walls of text—especially as AI answers “how” on demand.

3) Take action
Publish the checklist where your team works, communicate the update, and solicit feedback to improve it. Rinse and repeat once you have something that works.

Oh, and if you wish your SOPs included your edge or the wisdom of your most tenured employee? We have a great way to capture “you” so that your team can also get advice when questions or new situations arise. It’s AI, but we think it’s magical.  Reply “wise” if you’re interested in learning more.
